Dr Diu SkinVet Specialist LLP (“The SkinVet“, “us”, “we”, or “our”) operates the website www.theskinvetco.in (the “Website“) and the veterinary dermatology clinic located at Shop 8, Ground Floor, Shubhada Towers, Upper Sir Pochkanwala Road, Worli, Mumbai – 400030. This Privacy Policy explains how we collect, use, share, and protect personal information of visitors to the Website and clients who use our Services (collectively, “you” or “Users“).

This Privacy Policy is incorporated by reference into, and should be read together with, our Terms and Conditions. It may be amended from time to time, as and when the need  may arise.

BY USING THE WEBSITE, SUBMITTING ANY FORM ON IT, OR OTHERWISE PROVIDING US WITH YOUR INFORMATION, YOU CONFIRM THAT YOU HAVE READ AND UNDERSTOOD THIS PRIVACY POLICY AND CONSENT TO OUR COLLECTION, USE, AND DISCLOSURE OF YOUR INFORMATION AS DESCRIBED HERE. WE MAY UPDATE THIS PRIVACY POLICY FROM TIME TO TIME; WE WILL NOTIFY YOU OF ANY MATERIAL CHANGE BY POSTING A REVISED VERSION ON THE WEBSITE WITH AN UPDATED EFFECTIVE DATE. IF YOU DO NOT AGREE WITH THIS PRIVACY POLICY, PLEASE DO NOT USE THE WEBSITE OR PROVIDE US WITH YOUR INFORMATION.

If you provide us with information about another person (for example, a family member who will also be bringing in the pet, or if you are booking on behalf of someone else), you confirm that you are authorised to do so and that the person concerned is aware of, and has consented to, this collection.

1. What This Policy Covers

This Privacy Policy explains:

(a) the type of information we collect from you, including personal information relating to you and your pet;

(b) the purpose, manner, and extent to which we collect, use, process, retain, and dispose of such information; and

(c) how, and to whom, we may disclose such information.

2. Information We Collect

When you use the Website, submit a form, or interact with us by phone, email, or in person, we may collect:

Personal information you provide:

  • your name, phone number, and e-mail address;
  • your residential or billing address, where provided;
  • details about your pet, such as name, species, breed, and age;
  • medical and treatment history of your pet, including consultation notes, photographs (for example, of a skin condition), cytology/biopsy/allergy-test results, and prescriptions;
  • limited payment-related information in connection with an online Booking Deposit, such as the transaction status, amount, and payment reference ID. We do not collect or store your full card, UPI, or net-banking details – these are collected directly by our independent payment gateway partner, in accordance with its own privacy and security practices; and
  • any other information you choose to share with us, such as in the “Message/Concern” field of our booking form.

We limit our collection of personal information to what is reasonably necessary for the purposes described in this Policy.

Non-personal and usage information:

We may also automatically collect non-identifying information when you visit the Website, such as your browser type, device type, operating system, approximate location, IP address, the pages you visit, and how you interact with the Website (“Usage Information“). This information helps us understand how the Website is used and improve it. Personal information that has been anonymised so that it can no longer identify you is also treated as non-personal information.

3. How We Use Your Information

We use the information described above to:

(a) respond to and confirm your booking/consultation requests;

(b) provide our veterinary dermatology Services, including maintaining your pet’s clinical and treatment records;

(c) process payments made through our third-party payment gateway, and reconcile your Booking Deposit against your final bill;

(d) communicate with you about your appointment, including reminders and follow-ups;

(e) respond to queries, complaints, and feedback;

(f) improve our Website and Services, including through aggregated, anonymised analysis that does not identify you; and

(g) send you information about our Services, offers, or events, where you have not opted out of such communications (see Section 6 below).

We will not contact you on a telephone number registered on the National Do Not Call (DNC) Registry for promotional purposes without your clear, prior consent.

We do not sell your personal information.

4. Disclosure of Information

We may disclose your information to:

(a) our staff, consulting veterinarians, and partners involved in providing care to your pet, on a need-to-know basis;

(b) our independent, RBI-authorised payment gateway partner, solely to process your online Booking Deposit. We do not control, and are not responsible for, the payment gateway’s own collection or use of your payment instrument details, which is governed by its own privacy policy;

(c) third-party service providers who support our operations (for example, IT, cloud storage, or appointment-reminder services), who are contractually bound to keep your information confidential and use it only for the purpose for which it was shared;

(d) government authorities, law enforcement, or courts, where required by law or in good faith belief that disclosure is necessary to comply with a legal obligation, protect our rights, or prevent harm; and

(e) a successor entity, in the event of a merger, acquisition, or sale of our business or assets, who will continue to be bound by this Privacy Policy in respect of your information.

We do not share the link between your IP address and your personal information with third parties for advertising purposes.

5. Cookies

The Website may use cookies and similar technologies to support its technical operation, remember your preferences, and understand how the Website is used. These cookies do not store sensitive personal information. You can disable cookies through your browser settings, though some parts of the Website may not function as intended if you do so.

6. Your Choices and Rights

You may, at any time:

(a) ask us to correct or update inaccurate personal information, by writing to care.worli@theskinvetco.in;

(b) ask us what personal information we hold about you, or request that we delete it, subject to our legal and record-keeping obligations as a veterinary practice (see Section 7 below);

(c) opt out of receiving promotional or marketing communications, by writing to care.worli@theskinvetco.in — you will continue to receive essential transactional communications (such as appointment confirmations) even after opting out of marketing; and

(d) withdraw your consent to our processing of your personal information, understanding that this may affect our ability to provide you with our Services.

We will make good-faith efforts to action your request as soon as reasonably possible, and in any case within the timelines required under applicable law.

7. Data Retention

We retain your pet’s clinical and medical records for as long as necessary to provide ongoing care, and thereafter for such period as required under applicable law and good veterinary record-keeping practice – generally for a minimum of three years from the date of your pet’s last visit, unless a longer period is required by law or a dispute is pending. Non-essential personal information (such as marketing preferences) is retained only for as long as needed for the purpose it was collected, after which it is deleted or anonymised.

8. Security

We implement reasonable security practices and procedures, including administrative, technical, and physical safeguards appropriate to the nature of the information we hold, to protect your personal information against unauthorised access, loss, misuse, or disclosure. However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. We are not responsible for any loss arising from unauthorised access to your own devices, email, or accounts that is not attributable to our systems.

All payment transactions are processed through a secure, encrypted connection by our independent payment gateway partner. We do not store your full payment card or banking credentials on our systems.

9. Third-Party Links

The Website may contain links to third-party websites (for example, our social media pages or our payment gateway). This Privacy Policy does not apply to such third-party websites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policies of any third-party website before sharing your information with it.

10. Sensitive Information

We do not knowingly collect personal information directly from minors without the involvement of a parent or guardian. If you are booking on behalf of a family, please ensure that you, as an adult, are the one submitting the form. We do not request, and you should not submit to us through the Website, sensitive personal attributes such as caste, religion, or sexual orientation, as these are not relevant to our Services.

11. Limitation of Liability

To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, or consequential loss arising from the processing of your information under this Privacy Policy, except in cases of our gross negligence or wilful default. We shall also not be liable for any loss arising from circumstances beyond our reasonable control, including cyber-attacks, system failures of third-party service providers, or events of force majeure.

12. Governing Law and Jurisdiction

This Privacy Policy is governed by the laws of India. Courts at Mumbai, Maharashtra shall have exclusive jurisdiction over any disputes arising out of or in connection with this Privacy Policy, subject to applicable law.
